    Polar is the payment processor your clients pay through. You link your own Polar account once, and every payment goes there.

    Add an invoice

    Add the client, the amount and the due date, then turn on reminders. The default schedule emails them 3 days before it's due, then 7 and 14 days late. Every email has a pay link.

    They pay by card from the link, and they don't need an account. The money goes to your Polar balance, the invoice is marked paid, and any reminders left are cancelled.

What it costs: Polar takes 5% + 50¢ per payment, which covers card fees and sales tax. PayPilot doesn't take a cut of your payments. After the free trial you pay a flat monthly plan.

Who is PayPilot for?

Freelancers and small studios who send invoices and then wait to get paid. If you chase a few clients every month, it's built for you. If you have a finance team, or your accounting software already sends reminders, you probably don't need it.

Do I need a Polar account?

Yes. Polar handles the card payments and pays out to your bank. You connect it during setup, and you can create an account then if you don't have one. PayPilot doesn't work with Stripe or PayPal yet.

What do the reminder emails say?

You pick a tone when you sign up: warm, neutral or firm. That sets up your starter emails, and you can edit any of them later. Every email includes the amount, the due date and a link to pay.

Do the emails come from my own inbox?

No. They're sent from PayPilot's email address, not yours. You control what they say, but they won't show up in your sent folder.

What happens when a client pays?

The money goes to your Polar balance, the invoice is marked paid, and any reminders still waiting are cancelled. If a client pays some other way, mark the invoice paid yourself and the reminders stop too.

What does it cost?

It's free for 14 days and you don't need a card. The trial covers one client, so you can try it on a real invoice. After that it's a flat monthly plan, see pricing. Polar also takes 5% + 50¢ per payment. PayPilot doesn't take a cut on top.
